Courses

How to Access: General > Courses

Purpose: Used to create, edit, and manage the Courses in AccuCampus.

Courses Buttons

On the Courses list screen, you can see all Courses in AccuCampus; there are six main action buttons and a filter option (highlighted in yellow in this example screenshot).

  • Create Course button - Use this option to create a new Course.
  • Locations - Use this option to create and manage a Location. Locations usually refers to centers, areas, and places which are tracking attendance.
  • College Departments - Use this option to create and manage a Department. Departments refers to some groupings of Courses.
  • View Class Schedules - Use this option to view the different Class sections and their schedules.
  • Semester - Use this option to create and manage a Semester. Courses are reused each Semester but Class sections are assigned to these specific Semesters.
  • Services - Use this option to create and manage Services that can be offered in Locations (Locations refers to your centers, areas, and places tracking Attendance, so specific Services can be assigned to them).
  • Semester Filter - This option filters the current view of Courses on this screen only to show the Courses in the selected Semester.
  • Search Filter (Magnifying Glass) - This option filters the current view of Courses on this screen only to show the Courses that match the typed search criteria.

Search Filter Options

  • Search- Use this option to search for a text in all the Courses in Accucampus OR in a certain category as selected below in the “Search in” option. This allows for partial searches.
  • Search in- Use this option to restrict the Search above to a specific Category.

Refine your Search

  • Semester- Refine your Search by searching for Text in the Semester field; this can be a partial search. For example, if you are searching for “Biology,” you do not need to type the word completely; typing “BIO” will show all words containing those letters (such as “Biology”).
  • College Department - Refine your Search by searching for any text in the College Department field.
  • Apply Filters- Click this button to execute the search.

Create Course, or edit existing Course

On this page, we can create Courses; you can access this screen via the “Create New” button in the Courses list; this section also applies when editing a Course; it is the same page (the only difference is that when editing there will be some information populated in the fields), but when creating new Courses all fields are blank.

General Info To track Course Attendance, you must ensure that “Attendance Tracking” is enabled on all courses you want to track; you can edit a course and view/edit this setting as needed. There are two ways to search for courses.

Full Unique Code - This is a unique identifier for this Course.

Note: The full code must be unique in the selected Semester for all Courses.

Seminars

  • Name - This is the display name of this Course (what users will see in their searches).
  • Semester - This is the Semester in which this Course is offered.
  • College Department - This is the Department that this Course belongs to (i.e., mathematics, business, computer science, etc.)
  • Event Group - This is an optional field that can help you create a grouping of Courses.
  • Details - This is an optional field that can provide additional information about this Course.

Schedule

  • Recurring Schedule - Use this option to create a class session that reoccurs every week(M-F) of the Semester on a specified day and time. The Location assignment also helps when you are tracking the Attendance through the AccuCampus App or a computer Sign-in Station.
  • One-time schedule - Use this option to create a class session only for a specified date and time. The Location assignment also helps when you are tracking the Attendance through the AccuCampus App or a PC Sign-in Station.

Attendance These settings can also be set for all Courses in the Advanced Options > Settings > (Class) Attendance section.

  • Allow sign-in early by X mins. - Use this option to specify how early before the “Start_Time” of the Course users can sign-in to be counted as “Present.” (It is recommended always to provide a grace period of at least a few minutes so users can sign-in)
  • Allow sign-out late by Y mins. - Use this option to specify how late after the “Start_Time” of the Course users can sign-in to be counted as “Present.” (It is always recommended to provide a grace period of at least a few minutes so users can sign-in)

Center Attendance These settings can also be set for all Courses in the Advanced Options > Settings > (Class) Attendance section. This configured only if you are using the Course as a Workshop being tracked in a Center or Location or for an Event.

  • Required presence % - Set this to specify what percentage of the time the User must be in the Course to qualify as “Present.”
  • Require users to sign out. - Set this to state whether or not they need to sign-out of this Workshop session.

Class Attendance

  • Enabled - This option enables the ability to track the Class in a classroom environment and gives your Instructor the ability to roll-call in the AccuCampus App and online.
  • Automatically check sessions after saving - Use this option to create any missing Class Sessions, and this option will only appear on the screen if the option: Class Attendance Enabled is checked.

SAVE Click this button to save all changes.

CANCEL Click this button to cancel and roll back the process without saving.

College Departments

College Departments Buttons

  • Create College Department - Use this option to create a new College Department.
  • Courses - This link redirects the user to the list of Courses.

College Departments List Options

  • Delete - Use this option to delete this College Department.
A confirmation message will prompt you to confirm this action(this is to prevent removing data by accident).

Create College Department

  • Name - This is the display name of the College Department you are trying to create.
  • Details - This are can provide additional information to the Users who view/edit this College Department.
  • SAVE Click this button to save all changes.
  • CANCEL Click this button to end the process and go back without saving.

View Class Schedules

Search for the Course by:

  • Instructor - This option will display the Schedule for a particular Instructor in AccuCampus.
  • -View this Schedule- Click this button to show the Schedule for the Instructor above.


  • Student - This option will display the Schedule for a particular Student in AccuCampus.
  • -View this Schedule- Click this button to show the Schedule for the Student above.


  • Location - This option will display the Schedule for a particular Location in AccuCampus.
  • -View this Schedule- Click this button to show the Schedule for the Location above.

Semester

On this page, you can see a list of Semesters in the system; you can create a new Semester, for each Semester in the list, you have two options(Delete and Days Off), using the magnifying glass icon allows you to search.

  1. Page Options
    • Create New- Click this option to create a new Semester.
  2. List Options
    • Delete- Click this option to delete this Semester.
A confirmation message will prompt you to confirm this action(this is to prevent removing data by accident).
  • Days Off- Click this option to specify some “Days Off” days for this Semester.

Search Filter Options

  • Search- Use this option to search for a text in all the Semesters in Accucampus; OR in a certain category as selected below in the “Search in” option.
  • Search in- Use this option to restrict the Search above to a specific Category.

Semester Days Off Option

Use this option to add Days Off to the system; a list of Suggestions will show on the right so you can click them and add them as Days Off. If you need to add a new item, click “Add New” and put the date and Name.

Semesters in AccuCampus can have dates that overlap with other semesters if you need to create concurrent semesters. For example:
  • Summer 2022
    (From 06/06/2022 until 08/12/2022)
  • Summer 2022 - Session A
    (From 06/06/2022 until 07/08/2022)
  • Summer 2022 - Session B
    (From 07/11/2022 until 08/12/2022)

Courses List Options

You'll notice on the right-hand side of every Course row there is a Delete button, and by clicking in “more actions,” you have access to up to 5 additional action buttons, this is their function and purpose(see highlighted in yellow the options in this example screenshot ):

  • Delete - Use this option to delete this Course.
A confirmation message will prompt you to confirm this action(this is to prevent removing data by accident).

More Actions - Click here to get the following options:

  • Manage Instructor Registration - Use this option to view and edit the Instructors registration to a particular Class.
  • Manage Sessions - Use this option to view and edit the Class Sessions for a specific Class, in case there is a day that you did not meet, and you want to remove it from showing up in the Attendance Sheet you can do it here too.
  • View Class Attendance - Use this option to view and edit the Class Attendance for a specific Class session.
  • View Session Logs - Use this option to view the Center Attendance for a specific Course.
  • View Student Registration - Use this option to view and edit the Student Registration for a specific Class.
Manage Instructor Registration-option details

Using this option, the system redirects to the “Instructor-Course registration” screen so that you can view/add/remove instructors that can work with this Course; there is also the “View all Courses” button that directs you to the Course List screen:

Manage Session button details

By using this option, the system redirects to the “Class Sessions” screen so that you can view the session dates, times, and locations:


Manage Class Attendance button details

By using this option, the system redirects to the “Attendance Sheet” screen so that you can view the session information for that specific Course; the choice on that screen include: Hide Total, Change Class, Print, Swipe a Card, and Unresolved swipes. You can click on a specific date to see/change more details on that particular session

In this video, we can see the two main ways to link Services and Locations:
1-From the Locations-List screen: Use this option to add one or multiple Services to one Location. 2-From the Services-list screen: Use this option to add one or multiple Locations where the same Service is provided.
