New Appointment (Admin)

Appointments in Accudemia refer to blocks/slots of time that users (students) can reserve with tutors, counselors, or advisors. They can receive assistance in a particular service, course, or similar. By clicking the New Appointment tab below Quick, the web page then displays a “Create Appointment” pop-up window.

These options are only available to system users with the Appointment Administrator role and allow them to bypass any restrictions that generally would not be permitted.

Purpose: If an Administrator needs to schedule an appointment disregarding rules.

  • Center: Use this option to select the Center from the list.
  • Student: Use this option to start typing a Student name. This way, Accudemia can autocomplete, or you may click the magnifying glass to select from the list.
  • Tutor: Use this option to start typing a Tutor name. This way, Accudemia can autocomplete, or you may click the magnifying glass to select from the list.
  • Instructor: Use this option to start typing an Instructor name. This way, Accudemia can autocomplete, or you may click the magnifying glass to select from the list.
  • Subject Area: Use this option to start typing a Subject Area name. This way, Accudemia can autocomplete, or you may click the magnifying glass to select from the list.
  • Services: Use this option to start typing a Service name. This way, Accudemia can autocomplete, or you may click the magnifying glass to select from the list. You can choose more than one Service, but make sure that the Tutor you choose is scheduled for all services in those slots.

Date & Time

  • Schedule on: Use this option to set the exact date and time for the Appointment (by default, it will show the current date/time).
  • Duration: Use this option to set the length of the Appointment.
  • Comments: Use this option to write notes/comments about this Appointment.
You can attach files to the comments to share with the Student and Tutor. Both parties will be notified if done by an Administrator, or the opposing party (i.e., the student will be notified if the Tutor is adding an attachment or the Tutor will be notified if the student is adding the attachment) via email about the file attached.

After selecting the options, click the Continue button and wait while Accudemia validates the reservations.

If the data entered is valid, it will inform you that the Appointment has passed all the validations as shown below:

To finalize this process and schedule the Appointment, click the Schedule Appointment button.

If Accudemia finds that the selections you've made are not valid (perhaps there are some restrictions on the student or tutor, or because the tutor is unavailable, etc.), you will only be warned and can proceed to make the Appointment as an Admin. The button “Ignore Warning and Save” disregards the warning and lets you schedule the Appointment anyway as you can see below:

If you prefer to correct this Appointment scheduling issue from happening in the future, you can choose to read the warning about what is preventing the Appointment from being made. If the settings are incorrect (based on the warning given) and the Appointment should be allowed to be made, then update the selected settings from Administration > Control Panel > Tracking Settings > Appointments Section. This can be a helpful tool when determining what is causing Appointment scheduling issues at your Center in Accudemia.
